Administrative Assistant

Summary of Authority and Responsibility:

Working under the supervision of the Executive Staff, the full-time Administrative Assistant oversees and manages all office procedures and other tasks as assigned by the Supervisor. Salary is commensurate with experience and qualifications.

 Duties and Responsibilities:

  • Oversee all aspects of general office coordination.
  • Maintain office calendar to coordinate work flow and meetings.
  • Maintain confidentiality in all aspects with students, faculty, and staff.
  • Interact with students, faculty, and staff on daily basis.
  • Answer telephones and transfer to appropriate staff member.
  • Open, sort and distribute supervisor’s incoming correspondence, including faxes and email.
  • Prepare responses to correspondence pertaining to routine inquiries.
  • Perform general clerical duties: file and retrieve organizational documents, records and reports.
  • Coordinate and maintain records for staff.
  • Coordinate and direct office services.
  • Create and modify documents such as invoices, reports, memos, and letters using software such as Microsoft Office, QuickBooks, etc. May compile data and prepare papers for consideration and presentation to the president and Board of Directors.
  • Set up and coordinate meetings and conferences.
  • Prepare agendas and make arrangements for committee, Board or other meetings.
  • Interact with the organization’s Board of Directors. Attend Board meetings, committee meetings or other meetings as requested in order to record minutes.
  • Compile, transcribe and distribute minutes of meetings.
  • Make travel arrangements.
  • Collect and maintain inventory of office equipment and supplies.
  • Support staff in assigned project based work, may supervise other support personnel.
  • Assist in special events, such as fundraising activities and the annual meeting.
  • Other duties as assigned by supervisor.

 Knowledge, Skills and Abilities:

  • Computer literate, demonstrated knowledge of computer software packages such as MS-Office.
  • Good writing, analytical and problem-solving skills.
  • Knowledge of principles and practices of organization, planning, records management and general administration.
  • Ability to communicate effectively, operate standard office equipment, and follow oral and written instructions.

Minimum Qualifications:

  • Minimum five (5) years experience as an administrative assistant.
  • Minimum Associate Degree, Bachelor’s Degree is desired.
  • Strong executive assistant training.
